Moving Out

As the April examination period and summer closure quickly approach, we're sharing the following information to ensure your exam period & summer break is successful.

EXAM PERIOD QUIET HOURS & GUESTS

As a courtesy to all community members preparing for the end of term, 23-hour quiet hours will be in effect starting Friday, April 4 at 11:00 P.M. and throughout the exam period. Additionally, standard courtesy hours are in effect between 8:00 P.M.-9:00 P.M. daily throughout this period.  All other times are considered quiet hours.

Please be considerate of your roommates and neighbours during this busy time. Should you have a concern regarding noise, please contact your Residence Life Don On-Duty phone between the hours of 8:00 P.M. and 8:00 A.M. or Security at any time.

As stated in your Residence Agreement, guests who do not hold a current Residence Agreement are not permitted in residence during 23-hour quiet hours.

EXAM HOUSING SERVICE CENTRE DESK HOURS

During the exam period, the Service Centre Desks will be operating during the following hours:

  • Service Centre East (Gzowski) – Monday to Sunday: 8:00 A.M. - 10:00 P.M.
  • Service Centre West (Lady Eaton) – Monday to Sunday: 8:00 A.M. - 10:00 P.M.
  • Service Centre South (Lady Eaton Annex) - Monday to Sunday: 8:00 A.M. - 10:00 P.M.
  • Service Centre Durham – Monday to Sunday: 8:00 A.M. - 10:00 P.M.

All Service Centres will close on Wednesday, April 23 at 4:00 P.M.

DEPARTURES

To support a residence environment conducive to the exam period, the Residence Agreement requires students to move out of residence 24-hours after their final exam or by 11:00 A.M. on April 23, 2025, whichever date is earlier. Students without final exams are required to leave residence by 4:00 P.M. on April 5, 2025.

REQUESTS FOR STAY EXTENSIONS

Late Stay Request Process:

  • Late stay requests will open as a step in the 2024-25 residence application on Monday, March 17 at 12:00 pm
  • The deadline to request a late stay is Thursday, April 3 by 4:00 PM (this is an amendment to Section 12 of the Residence Agreement).
  • Students will hear back about their request on Friday, April 4th
  • Approvals are at the sole discretion of the Student Housing department and are based on a student's residence record, community impact, and account history
  • Late stay approvals can be revoked due to residence standards violations or operational needs.
  • Students will be able to request a late stay up to May 1, 2025 at 11:00 A.M. except for students living in:
    • Gzowski College
    • Champlain Annex
    • Otonabee College Suites
    • Lady Eaton College Suites
      • Students living in these spaces can request late stays until Wednesday, April 23, 2025, but will not be able to stay in residence beyond this date.
  • Students who apply to and receive a room booking for summer residence will need to apply for a late stay if they intend to stay with us until Summer Residence opens on April 30.

Students who are accepted for a late stay past Wednesday, April 23 will be charged $39.90 per night for each additional night lived in residence. Dining services will be very limited to students staying in residence past April 23.

SUMMER RESIDENCE

Students who require accommodation for the Summer 2025 term can apply to stay in Summer Residence in our Peterborough (April 30 until July 30, 2025) or Durham Residence (April 30 until August 16, 2025). If you’re interested in learning more visit our Summer Residence webpage.

MOVE OUT PROCEDURES

Please ensure the following move out procedures are adhered to:

  1. Clean your room of all garbage and recycling and personal items. Your room must be clean and your furniture returned to its original configuration.
  2. If you rented a fridge from Coldex, they will be at Trent to pick up fridges after residence has closed. Avoid extra costs by making sure your fridge is in the same condition it was when you rented it and unplugged prior to your departure.
  3. Ensure your window is closed, lights are off, and door is locked.
  4. Drop off your keys and fob (room, suite key if applicable & mail key) at the Housing Service Centre

Note: If you are moving out when the Service Centre is closed, please drop your keys off at the afterhours key drop boxes around campus. You must scan the QR code at the drop box and check out on the portal before placing your keys in the check-out envelope and dropping them into the drop box. The after hour drop boxes are located:

  1. Beside the Durham Service Centre Window
  2. Outside of Service Centre East in Gzowski Residence
  3. In the door of Service Centre South (Lady Eaton Annex 109)
  4. Beside Service Centre West
  5. Otonabee College link
  6. Traill Mail Room
  7. Otonabee Annex in the lobby of Trent side of the building
  8. Outside of Blackburn Hall.

Failure to complete any or all of the above steps, may result in an improper checkout charge of $125. Failure to return keys will result in a charge up to $450.

An inspection of your room will be completed by Student Housing staff once you have departed from residence to assess the cleaning conditions and identify any damage or maintenance concerns. Additional charges related to the cleanliness or condition of the room or contents, or any damage, may be added to your student account.

If there are any belongings left in your room after you move out, they will be disposed of during the cleaning process so please ensure you remove all belongings when you leave. Additional fees may apply if items are left behind in your space.

Should there be any charges to your student account, you will receive an email by Friday, May 30th outlining the charges. After reviewing your letter, if you would like to appeal any of the charges, you will be required to follow the instructions provided in the email.

MAIL

After you have departed residence:

  • Any mail received after you have departed residence will be returned to the sender or disposed of if there is a cost associated with returning the mail/package to the original sender. As such, students may wish to consider providing an alternative address to companies when ordering items beginning April 4, 2025.
  • Any mail not claimed after the move-out period will be deemed unclaimed and will be returned to the sender or disposed of if there is a cost associated with returning the mail/package to the original sender.

DINING HALL HOURS DURING THE EXAMINATION PERIOD

Dining Hall hours for the examination period will be posted on the Food Services website. Please check the website for more information regarding menus and hours of operation.
