April 2021 - MOVE OUT INFORMATION (Peterborough)
The April examination period and summer break is quickly approaching! Housing Services would like to outline the exam period and residence closing procedures for the end of the year.
QUIET HOURS & GUESTS
To support an environment conducive for studying and final exams, 23-hour quiet hours will be in effect starting Friday, April 9th at 11pm. During this period, a courtesy hour will be in effect from 8pm – 9pm. All other times are considered quiet hours. Please be considerate of your neighbours during this busy time.
As a reminder, guests are not permitted in residence.
During 23-hour quiet hours, Dons will be on duty 24 hours/day. If you have any concerns regarding noise or the residence environment, please contact the Don on Duty for your residence.
HOUSING SERVICE CENTRE DESK HOURS
Service Centre Desks will be operating during the following hours as of April 1, 2021:
- Service Centre West (Lady Eaton) – Monday to Sunday 8am to 10pm
- Service Centre East (Gzowski) – Monday to Sunday 8am to 10pm
To support a residence environment conducive to the exam period, the Residence Agreement requires students to move out of residence 24-hours after their final exam or by 11am on April 25, which ever date is earlier. Students without final exams, are required to leave residence by 4pm on April 7th.
REQUESTS FOR STAY EXTENSIONS
Any resident requesting an extension to stay in residence 24 hours after their last exam, must complete a stay extension request form available on the Housing Portal by April 1, 2021 at 4pm (EST).
Housing Services will review your request, and take into consideration the reasons for your request and your student conduct history in residence. Students will receive a response by Housing Services no later than April 8th, 2021 informing you if your extension has or has not been granted. To support an environment conducive to exam preparation, any student approved of an extension who violates the residence standards or addendum to the residence standards, may be removed from residence and their student conduct file maybe forwarded to the Office of Student Affairs for review under the Charter of Rights & Responsibilities.
Residence closes at our Peterborough Campus April 25, 2021 at 11am (EST). Students requesting and approved by Housing Services to stay past April 25, 2021 will be subject to a $35 per night fee for each additional night they stay beginning April 25, 2021. Please note that no extension requests will be approved past May 1, 2021.
Important Note: If you live within the Champlain Annex 1st or 2nd Floor, due to Summer Residence preparations, no extensions will be granted past April 25, 2021.
MOVE OUT PROCEDURES
Please ensure the following move out procedures are adhered to:
- Clean your room of all garbage and recycling and personal items. Your room must be clean and your furniture returned to its original configuration.
- Ensure your window is closed, lights are off, and door is locked.
- Drop off your keys at the Housing Service Centre
- Note: If you are moving out when the Service Centre is closed, please drop your keys off at the drop box outside of Blackburn Hall.
Failure to complete any or all of the above steps, may result in an improper checkout charge.
An inspection of your room will be completed by Housing Services staff once you have departed from residence to assess the cleaning conditions and identify any damage or maintenance concerns. Additional charges related to the cleanliness or condition the room or contents or any damage, may be added to your student account.
Should there be any charges to your student account, you will receive an email by Monday, May 10th outlining the charges. After reviewing your letter, if you would like to appeal any of the charges, you will be required to follow the instructions provided in the email.
After you have departed residence:
Any mail received after you have departed residence will be returned to sender or disposed of if there is a cost associated with returning the mail/package to the original sender. As such, students may wish to consider providing an alternative address to companies when ordering items beginning April 2, 2021.
Any mail not claimed after the move out period will be deemed unclaimed and will be returned to sender or disposed of if there is a cost associated with returning the mail/package to the original sender.
DINING HALL HOURS DURING THE EXAMINATION PERIOD
Dining Hall hours for the examination period will be posted on the Food Services website. Please check the website for more information regarding menus and hours of operation.
DINING PLAN AND TRENT CASH
Dining plan money and Trent cash remaining on your student account will automatically carry over to the 2021-2022 academic year. There are no fees associated with this and you do not need to do anything. Should you have any questions regarding your dining plan or Trent cash, please email: firstname.lastname@example.org
If you rented a fridge from Coldex, they will be at Trent to pick up fridges after residence has closed. Avoid extra costs by making sure your fridge is in the same condition it was when you rented it and unplugged prior to your departure.
