BRIEF DESCRIPTION OF DUTIES: (include any significant variation in duties/responsibilities as outlined in Article 5.04 of Collective Agreement)

Positions are at various times during the Winter examination period which runs from April 10th, 2026 until April 23rd, 2026. Examination start times are 8:00am, 11:00am, 3:00pm, and 7:00pm. Proctor shifts begin 30 minutes prior to the official examination time and end up to 30 minutes after the examination has ended. Shifts are up to 4 hours in duration. There is a possibility of being scheduled for two shifts in one day.

Head Proctor shall be defined as an individual who plays a key role in assisting exam logistics and administration and oversees the delivery of Trent University examinations. They will also have a role in ensuring compliance with Trent University's Academic Integrity Policies. 

Duties related to the position, which shall be in accordance with university and departmental practices, shall be determined by the person(s) who has (have) responsibility over the hiring of this role. Such duties may normally include, but are not limited to, supporting the secure and equitable administration of exams by ensuring compliance with academic policies, facilitating accommodations, and maintaining the integrity of the examination process through coordination, monitoring, and communication with students, faculty, and staff, as well as adhering to institutional policies and protocols throughout the examination process.  

Responsibilities:  
Detailed responsibilities may include, but are not limited to: 
Pre-Exam Preparation 
•    Completing a mandatory training session prior to commencing duties. 
•    Receiving exam booking requests, entering bookings into the database, and notifying professors of exam details and accommodations. 
•    Assisting with the organization and preparation of exams, including booking rooms, preparing test packages, and setting up rooms. 
•    Setting up adaptive tools, software, or specialized furniture to meet accessibility-related needs. 
•    Receiving and securing both hard copies and electronic copies of exams and test administration instructions according to established procedures. 
•    Assisting proctors with exam setup based on accommodation requirements and distributing appropriate test materials. 
•    Monitoring the Proctor Channel on Microsoft Teams for the duration of the exam period and be available on Microsoft Teams 30 minutes prior to the exam start time.

Exam Administration 
•    Distributing blank exam booklets and other exam materials before the exam and collecting unused materials afterward. 
•    Delivering announcements regarding exam procedures and regulations before, during, and after the exam, and ensuring exams start and end on time. 
•    Recording attendance and verifying student identification. 
•    Being present in the exam room for the full duration of the exam and monitoring the room to ensure compliance with Trent University’s examination regulations. 
•    Escorting students who need to leave the exam room during the exam, including to and from the restroom. 
•    Inspecting restrooms before and after student use to ensure no unauthorized materials are present. 
•    Ensuring students can communicate with their professor during the exam, if permitted by the test administration instructions. 
•    Identifying and responding to suspected academic misconduct in accordance with Trent’s policies, including documenting incidents and notifying the course instructor and Head Proctor supervisor. 
•    Upholding Trent’s academic integrity policies and ensuring the integrity of the examination process. 
•    Monitoring all proctors, exam rooms, and reception areas to ensure compliance with Trent University or external institution regulations. 

Post-Exam Procedures 
•    Collecting and securing completed exams, and either delivering them directly to the course instructor or following established procedures for signing out exams to designated personnel. 
•    Securing exam rooms, computers, pen drives, external hard drives or specialized equipment, unwritten and written exams, and keys at the end of the exam day. 
•    Available on Microsoft Teams up to 30 minutes after the exam has ended.

General Responsibilities 
•    Maintain confidentiality regarding student information and exam content. 
•    Communicating with Trent students, faculty, and external exam candidates via phone, email, and in person.

Successful applicants are required to attend an in-person, one and a half (1.5) hour mandatory (paid) training session that will take place before the start of the examination period. Training sessions will be offered between March 23rd and April 2nd on weekdays at 10:00am.

QUALIFICATIONS:
- Priority will be given to applicants who can commit to six or more shifts during the examination period.
- Post-secondary diploma/degree preferred. 
- No prior academic integrity violations (if applying as a current student). 
- Must be available to attend an in-person mandatory training session.
- Demonstrated ability to respond effectively to urgent, emotionally complex, and health-related situations with a compassionate, student-centered approach. 
- Ability to circulate quietly and comfortably around the examination room. 
- Capable of maintaining alertness and attentiveness for the full duration of the examination to effectively monitor student activity. 
- Sound judgement and problem-solving skills. 
- Strong verbal and written communication skills and comfortable speaking in front of large groups. 
- Confident in enforcing academic integrity policies and procedures with fairness and consistency. 
- Reliable and punctual, with a commitment to timely arrival and readiness for all scheduled shifts. 
- Previous proctoring experience is considered an asset.

Such duties may include but are not limited to: contributing to the secure and equitable administration of examinations by maintaining appropriate exam conditions, supporting student needs during assessments, assisting with procedural tasks related to exam logistics and accessibility, and adhering to institutional policies and protocols throughout the examination process.

•    Distributing and collecting exam materials, including blank booklets and other required items, before and after the examination. 
•    Remaining present in the examination room for the full duration of the exam and monitoring the environment to ensure compliance with the University’s examination regulations. 
•    Supporting academic integrity by being familiar with and enforcing the University’s Academic Integrity policies, and responding appropriately to suspected misconduct. 
•    Maintaining confidentiality of student information and examination content.

•    Assisting with the recording of attendance and verifying student identification.

CUPE 2 Bargaining Unit Position

JOB POSTING - THIS AD IS FOR CUPE UNIT 2 positions. You must be a registered Student at Trent University in order to apply.

The Office of the Dean of Arts and Science invites applications from Graduate students and fourth-year Undergraduate students for CUPE 3908 Unit 2 Proctors for Winter 2026 final examinations in Peterborough and Durham. The primary purpose of the Exam Proctor position is to ensure the academic integrity of the examination as specified in Trent University’s Academic Integrity Policies.

The hourly rate of pay is in accordance with the CUPE 3908 Unit 2 collective agreement Appendix A Wage Rates: $19.27/hr + 4% vacation pay.

Proctor shall be defined as an enrolled Trent University Student whose assigned duties are aiding Course Instructors in the administration of exams by: 

  • Handing out blank exam booklets before the exam;
  • Collecting unused exam booklets after the exam;
  • Being present in the exam room for the scheduled duration of the exam;
  • Being aware of Trent’s academic integrity policies.

Position(s) Available: 
Positions are at various times during the Winter examination period which runs from April 10th, 2026 until April 23rd, 2026. Examination start times are 8:00am, 11:00am, 3:00pm, and 7:00pm. Proctor shifts begin 30 minutes prior to the official examination time and end up to 30 minutes after the examination has ended. Shifts are up to 4 hours in duration. There is a possibility of being scheduled for two shifts in one day.  Shifts will take place on both Peterborough and Durham campuses.

Successful applicants are required to attend an in-person, one-hour mandatory (paid) training session that will take place before the start of the examination period. Training sessions will be offered between March 23rd and April 2nd on weekdays at 10:00am.

Qualifications:

  • Registered Trent University student: Graduate students preferred; fourth-year Undergraduate students (minimum 15 credits completed) are also eligible.
  • No record of academic integrity violations.
  • Able to circulate quietly and comfortably around the examination room during the examination.
  • Capable of maintaining alertness and attentiveness for the full duration of the examination to effectively monitor student activity.
  • Strong verbal communication skills.
  • Able to respond calmly and professionally to students experiencing stress or anxiety.
  • Confident in enforcing academic integrity policies and procedures with fairness and consistency.
  • Reliable and punctual, with a commitment to timely arrival and readiness for all scheduled shifts.
  • Previous proctoring experience is an asset.
  • Must be available to attend a mandatory 1-hour, in-person training session.
  • Priority will be given to applicants who can commit to four or more shifts during the examination period.
  • Access to and monitoring of Microsoft Teams for duration of contract and during each shift.
