VoiceMail How-To

GENERAL NOTES:

HELP:

  • Press the asterisk "*" for help. From within the voicemail system this will re-play the main menu options.

EXIT THE VOICEMAIL SYSTEM:

  • Press the pound key "#" to exit Trent's voice mail system

MAILBOX OPTIONS

  • Greetings/Modify Greetings
  • Modify Name Recording
  • Change VM System Password

MESSAGE OPTIONS:

  • Play
  • Change Folders
  • Playback Options
  • Delete Message
  • Forward Message
  • Save Message

ADVANCED VM OPTIONS:

  • Reply to a VM Mesaage Sender via VM
  • Record/Send a VM Message to another VM User

ACCESSING YOUR VOICEMAIL BOX

From the handset at your desk:

  1. Press message button on the handset on your telephone OR dial 6998
  2. System will automatically connect you to your voicemail box
  3. Enter your password at the prompt

From an extension other than your own located on the Trent phone system:

  1. Dial 1560
  2. Enter your 4-digit extension at the prompt.
  3. Enter your password at the prompt

From remote location (device not on the Trent phone system network)

  1. Dial 1-705-748-1560 OR 1-705-748-1011 extension 1560
  2. Enter your 4-digit extension at the prompt.
  3. Enter your password at the prompt

MAILBOX OPTIONS:

TO MODIFY GREETINGS (from the main menu after logging in to your mailbox)

  1. Press 0 for mailbox options
  2. Press 1 to record your "unavailable" greeting (or 2 to record your "busy" greeting), followed by the # key to end the recording

After recording, follow the system prompts:

Save the Greeting

Listen to your Greeting

Re-record your greeting

  1. Record your message
  2. Press the pound sign "#" to end the recording

TEMPORARY GREETING:

There is an option to record a TEMPORARY greeting, which is commonly used when you are away for a specified period of time (e.g. while on vacation).

  • This greeting plays instead of your "unavailable" or "busy" greeting, and must be deleted in order to be disabled.

To DELETE A TEMPORARY greeting:

  1. Press 0 for mailbox options
  2. Press 4 to record a "temporary" greeting
  3. Press 2 to delete it.

Your UNAVAILABLE and BUSY greetings are now re-enabled.

MODIFY THE NAME RECORDING:

  1. Press 0 for mailbox options
  2. Press 3 to record name, followed by the # key to end the recording

After recording, follow the system prompts:

Save the Greeting

Re-record your greeting

 3

Record your message and press the pound sign "#" to end the recording

Back to Top:

CHANGE YOUR PASSWORD:

  1. Press 0 for mailbox options
  2. Press 5 to change your password
  3. Enter your new password followed by the pound "#" key
  4. Confirm your new password followed by the pound "#" key

 Rewind the message by 3 seconds

* (Asterisk)
 Rewind the message by 3 seconds # (Pound)
Pause/resume message playback 0 (Zero)

DELETE A MESSAGE

While playing a message:

  1. Press the number 7

Retrieve a deleted message  (you must still be logged into the mailbox in same session as when you deleted the message):

  1. Re-play the deleted message
  2. Press the number 7 to retrieve the message
  3. Follow instructions for saving, forwarding, or other advanced options, once the message is retrieved.

FORWARD A MESSAGE

  • With a personal comment from you included:
  1. While playing a message, press the number 8 to forward it to another Voice Mail
  2. Enter the user's extension
  3. Press  the number 1 to add personal comment to the message
  4. Record your personal comment after the beep tone
  5. Press the pound # key to end the recording and forward the message
  • Without any additional comment from you
  1. While playing a message, press the number 8 to forward it to another Voice Mail
  2. Enter the user's extension
  3. Press the number 2 to forward without additional comment

SAVE A MESSAGE:

While playing a message, press 9 to save it to a folder as follows:

If you wish to save messages to specific folders: PRESS

NEW (new messages default)

0
OLD (saved messages) - This will happen by default 1
WORK 2
FAMILY 3
FRIENDS 4

ADVANCED OPTIONS (While listening to messages):

SEND A REPLY  (internal caller who left you a message):

  1. After listening to a message, press the number 3 for Advanced Options
  2. Press the number 1 to send a reply to the Voice Mail user who sent you the message
  3. Record your message after the beep tone
  4. Hang up to send the message, or
  5. Press the pound "#" key for further options

PLAY THE MESSAGE ENVELOPE (Time/date message received and caller's extension/phone number)

  1. After listening to a message, press 3 for Advanced Options
  2. Press 3 to play the message envelope

RECORD AND SEND A MESSAGE TO ANOTHER VOICEMAIL USER:

  1. After listening to a message, press 3 for Advanced Options
  2. Press 5 to record and send a message to another Voice Mail user
  3. Enter the user's extension
  4. Record your message after the beep tone
  5. Hang up to send the message, or
  6. Press the pound "#" key for further options 
  7. After recording a message:
    1. Hang up to send it to the user OR
    2. Press the pound "#" key for the following options:
IF YOU WISH TO: PRESS:
Send the message to the user 1
Listen to the recording before sending 2
Re-record your message 3
Return to an Operator 0

To reach an Operator following the above steps, please press the pound "#" key or continue to hold for an operator without saving the recorded message
