The CISCO 7940/60 series phones and the 8945 phones are equipped with a speaker. You can dial and complete a call without lifting the receiver. Please be mindful of your neighbours and use speaker phone in a closed space, as much as possible.

Either:

  • Hang up the receiver OR

  • Press the Speaker button (if using speakerphone)

REDIAL 
  1. Pick up either the receiver, select a line key on a multi-line set, or the speaker button if available the last number you dialed
  2. Press Redial

If using the "Last Number Redial" feature, before lifting the receiver your telephone will be in "listen" mode. You cannot speak with the other party until the receiver is lifted.

Dial an INTERNAL Trent extension using VOICE RECOGNITION

 

  1. Pick up either the receiver, select a line key on a multi-line set, or the speaker button if available
  2. Dial "0" (zero).
  3. Following the musical tone, speak the first and last name of the staff/faculty you wish to reach - slowly & clearly. 
  4. If voice recognition is successful, you will receive confirmation that your call is being connected.

Dial from the phone system CORPORATE DIRECTORY

  1. Pick up either the receiver, select a line key on a multi-line set, or the speaker button if available
  2. Press the Menu button
  3. Select Directories>Directory Services>Corporate Directory.
  4. To search for a listing, use your keypad to enter the first few letters and then press Search.
  5. To dial from a listing, scroll to it so it is highlighted and go off-hook

Place a call while another call is active (put a caller on HOLD)

  1. Press the Hold button
  2. Press New Call.
  3. Dial the extension or use voice recognition to connect to your party.

CALL FORWARD 

 

Activate:

  1. Press the CFwdAll softkey and wait for 2 beeps
  2. Calls can be forwarded to:
  • Voicemail: Press the Messages softkey OR
  • A different extension: Enter the extension # OR
  • An external line/cell phone: Enter 9 + 10 digit number

To De-Activate:

  • Press the CFwdAll softkey again

Note: While forwarding is in effect, no calls will be received at the original extension. Any external number to which calls are being forwarded will be visible to the caller.

Call TRANSFER (Warm)
  1. Press the Trnsfer softkey and wait for a tone (caller is automatically placed on hold).
  2. Dial the extension to which call will be transferred
  3. Listen for ringing, wait for an answer, and announce the call
  4. To complete the transfer, press the Trnsfer softkey again

If you make an error while transferring a call, press EndCall and then Resume softkeys to return to the original caller. Re-initiate the process.

Call TRANSFER (Cold)
  1. Press the Trnsfer softkey and wait for a tone (caller is automatically placed on hold).
  2. Dial the extension to which call will be transferred
  3. When you hear ringing, press the Trnsfer softkey again.

If you make an error while transferring a call, press EndCall and then Resume softkeys to return to the original caller. Re-initiate the process.

CONFERENCE 

Conferencing allows you to connect up to 4 parties including yourself.

  1. While on a call, press the "More" and then Confrn softkey. You will hear a tone and original caller(s) now on hold.
  2. Dial the number you wish to add to the call (Start with a "9" if it is an external number)
  3. When the called party (#3) answers you can talk privately. 
  4. To complete the loop and initiate the conference call so all three parties (including you) can participate, press the Confrn again.
  5. Repeat the procedure to add the 4th participant to the conference, if necessary.

If you make an error while transferring a call, press EndCall and then Resume softkeys to return to the original caller. Re-initiate the process.

EDIT A CALL LOG 

  1. Press EditDial
  2. Press << or >> to reposition the cursor or erase digits.
  3. Use the keypad to enter digits

MUTE 
  • Press the MUTE key

While a call is muted, the other party cannot hear you. To return to a conversation, press the MUTE key again. The "MUTE" key applies to both the receiver and the speaker phone.

MESSAGE 

How will you know you have a message in your mailbox?

  • If you use phone system mailbox: Indicator light on the receiver will light up to indicate there are messages
  • If you use email to receive voicemail messages, you will see a message from "Voicemail System" in Outlook.

DISPLAY CONTRAST 
  1. Press the Settings button
  2. Select Contrast
  3. Press the Up and Down soft keys to adjust contrast
  4. Press the OK soft key to save the changes and exit.

  1. Press the Settings button
  2. Select Ring Type
  3. Select "Default Ring" under "Ring Type"
  4. Use the Navigation button to highlight a Ring Type
  5. Press the Play softkey to hear the highlighted Ring Type
  6. Press the Select softkey to make your choice
  7. Press the OK softkey to save your selection

VOLUME ADJUSTMENT

To adjust volume on the ringer:

With the handset down (not on a call) and speaker off, press the VOLUME BAR up (+) or down (-) to adjust volume

To adjust volume on the speaker or the receiver:

While on a call, press the VOLUME BAR up (+) or down (-) to adjust the volume.

Need Switchboard?:

  1. To contact Switchboard, dial "0" and speak "Switchboard". Auto-attendant will transfer your call.

Please note: Switchboard is unable to tell if someone is in their office, or on the phone. If you get voicemail, please leave a message for your party.

External Calls (Local):

  1. Pick up the handset, the speaker button on the phone, or the the "New Call" softkey.Listen for the dial tone.
  2. Dial "9" 
  3. Dial the number you wish to reach (local calls have 10 digit phone numbers, including the area code)

External Calls (Long Distance):

A personal long distance authorization code is required to make long distance calls. Requests for this personal code may be made by submitting an online form at myTrent>Services>IT Services>Long Distance Authorization Code

  1. Pick up the handset, the speaker button on the phone, or the the "New Call" softkey. Listen for the dial tone.
  2. Dial "9" , then "1", then the 10-digit number (including area code) that you wish to reach.
  3. When you hear the tone, enter your long distance authorization code.
  4. If your code is accepted, your call will process. 

External Calls (International Long Distance):

  1. Pick up the handset, the speaker button on the phone, or the the "New Call" softkey.Listen for the dial tone.
  2. Dial "9" , then "011", then the 10-digit number (including area code) that you wish to reach.
  3. When you hear the tone, enter your long distance authorization code.
  4. If you code is accepted, your call will process. 

External Calls (Operator Assisted):

Operator assisted calls can be made using a Bell Calling Card and dialing 1-800-555-1111. Information on purchasing Bell Calling Cards can be found here: prepaid.bell.ca/Retailers.do

Personal Calls: 

Personal calls must NOT be charged to Trent University numbers. Bell Calling Cards can be used for personal calls and they can be found here:   prepaid.bell.ca/Retailers.do
