Computer Renewal Program Options

The cost for this option will be the difference in price between the actual cost of the materials provided and the purchase cost of Option A

Trent Standard Mac Desktop A non-portable computing device loaded with Trent’s image, running the Mac operating system and loaded with; office productivity software, virus software and anti-malware software.
Includes: working keyboard, mouse, monitor (if required), connection to the network, and access to a shared network printer/copier.
The cost of this option will be the difference in price between the actual cost of the package and the purchase cost of Option A.

operating system and loaded with; office productivity software, virus
software and anti-malware software.
Includes: working connection to the network and access to a shared network printer/copier. Docking station, monitor, keyboard, and mouse available upon request and subject to availability.
The cost of this option will be the difference in price between the actual cost of the package provided
and the purchase cost of Option A.

Note: *These options will not be available to an individual member if departmental funding, professional expense funds, or available research funds are not available to cover the cost differential between option A and the preferred option as well as the cost of
requested peripherals. Computers provided under Options B, C, and D may not be loaded with identical software to that provided with the ‘Trent Standard Windows Desktop’ and may have limited access to certain services.

Members may select, purchase (using their own funds), and use information technology, including hardware and software, that is not supported by the Trent University IT Department, but that enables them to fulfill their responsibilities. Equipment and software purchased using University funds remains the property of Trent University.

Within six (6) months of the signing of this Collective Agreement, the university will begin the orderly deployment of computers. The following approach will be taken in the deployment;

  1.  An inventory of all the primary use computers of the Members will be undertaken by the IT Department and a prioritization of deployment based on needs assessments will be completed.
  2.  Based on the list above, the IT Department will begin a phased deployment of computers. A quarter of the list above will be replaced each year for four years.

Each Member will be provided with the opportunity to select one of the options above.

In addition to the computers distributed as part of this renewal program, Members will be provided with a new or reconditioned computer when hired. 

If the computer is stolen or lost, the Member agrees to immediately report the theft or loss to Campus Security and the Information Technology Department and to contact the nearest Police Station to where the theft/loss occurred and file a police report. The Member will obtain a police report number and submit it to both Campus Security and the Information Technology Department. The funds available in the Computer Renewal Program will not be used to cover the cost of a replacement computer. Departmental, professional development or Trent Self-Insurance (if applicable and available) funding may be used for that purpose. The Member shall be responsible for any damage or loss to property, infringement of rights and civil or criminal offences caused by, or related to, the Member’s use of the computer, or the use of the computer by anyone else with the knowledge or consent of the Member., subject to the Member's right to seek indemnification or defense by the University with respect to any proceedings in accordance with the University's usual policies.

The Member shall exercise reasonable care to ensure that the computer is not stolen, damaged or lost and that no rights, including any copyrighted software used in the computer, are infringed. Measures include, but are not limited to, when feasible, securing the equipment out of sight in a locked space when not in use and using encryption and password protection.

The Member agrees not to copy or allow anyone to copy the software provided with the computer.

The Member agrees to not give the computer to any other person for any reason. The member may from, time to time, loan the computer. It is understood that the machine is entrusted to the member and that the member is responsible for all equipment in his/her care. When loaning the computer, the member may not share their Trent provided credentials, Trent provided services, or expose Trent data to non-authorized personnel.

The Member agrees not to sell, lease, give away, or otherwise dispose of the computer.

The responsibility of Trent University is to replace each member’s computer on a 4 year cycle. Members will only receive replacement equipment once both of the following conditions are satisfied.

  1. They select a new option from the list of options above and inform the Trent University IT Department in writing.
  2. They return all equipment received by them previously.

In the event that a member is no longer employed by Trent University, all the equipment received by the member under this agreement must be promptly returned to the Trent University IT Department for inspection leading to either disposal or re-distribution. In all cases, the IT Department will take due care in ensuring that the computer hard drives are properly wiped.

In the event that a member retires, he/she will be given the option to purchase the computer hardware from Trent University. This purchase is to be arranged through the IT Department, furthermore, the computer must be returned to the IT department just prior to retirement to have data backed up and all software, including the operating system, removed from the computer. The member will receive guidance from the IT department regarding back-up and re-installation of software and data.
