Microsoft Azure RMS - Protecting and Sharing a Document - Mac

Background

The Microsoft Azure RMS (Document Protection) application allows the secure sharing of information of documents with tracking and security permissions embedded into the file itself. This tutorial will detail the steps required to protect a document using RMS and share it securely. 

Note - During this process, you may be prompted to enter your credentials or allow access to Apple Keychain. Enter your credentials as needed, and accept access to keychain as required. 

Detailed Instructions

  • Open the document as you normally would. Select the Review Tab and click the Restrict Permission button

  • Select the desired restriction level. The following table outlines the difference between the various security levels

Highly Sensitive - Read Write Information that's of high value to the university that contains personally identifiable information, financial or research data.  Recipients will be able to read, make changes, forward and print this document. 
Highly Sensitive - Read-Only Information that's of high value to the university that contains personally identifiable information, financial or research data.  Recipients will only be able to read the information in this document.
Sensitive - Read Write Information that's of high value to the university but does not contain personally identifiable information, financial or research data. Recipients will be able to read, make changes, forward and print this document. 
Sensitive - Read-Only Information that's of high value to the university but does not contain personally identifiable information, financial or research data. Recipients will only be able to read the information in this document.
  • Save the document and distribute it as normal - Microsoft Office for Mac does not, as of yet, have an automated workflow to distribute the document automatically. However, the document can now be saved and attached to an email message for sending.

What happens next?

  • When the document is attached to an email message or moved to a USB stick, the protection will be included in the document file itself. Files will continue to be protected regardless of the transmission method. 

Additional Information

  • Documents shared with Azure RMS will be readable by all staff members at Trent University by default to avoid accidental loss of data. To share a document with an external party, or to use custom permissions, see Microsoft Azure RMS - Using Custom Permissions - Mac
