Booking a Room
Central room booking on Trent campuses is managed through the Registrar's office for academic space or specific departments on campus for non-academic space.
This user guide outlines how to book a centrally managed room. If you cannot find a room listed in the Room Bookings system, please contact the Departmental Administrative Assistant. If you are having issues booking a room listed in the Room Bookings system, please contact email@example.com
You will receive an acknowledgement and approval/denial of all bookings via email. Approval/denial is generally provided within 24 hours, or the next business day from Room Bookings or the managing department, via email.
Booking a Room via the myTrent portal:
Login to the myTrent portal, and navigate to myTrent>Services>IT Services
Select the Room Bookings icon listed under IT Services
Under the Home>Requests navigation menu on the left, select the Request a Specific Room link

Using the drop down menu next to "Request Type, navigate to and select any space you wish to book. You will find the IT-managed Recording Rooms located in Bata halfway down the list, and near the bottom.
Stohn Hall, located in the Student Centre (TSC), and rooms located in Durham: TN125 and TN127 are managed through Room Bookings via the Registrar's Office, as they are also academic spaces, but may be booked using this set of instructions.
Select the room from the list.
Note: If you chose a specific room in the drop-down list you will still need to click it here even though it is the only one.
Enter the duration of the booking i.e. one hour, etc in numeric form: 1:00 AND specify the start and end times.
You may also check the recurring reservation box if you wish to book sequentially on a daily, weekly or monthly basis. Please note: The time frame for recurring reservations is limited to 90 days.
The Room Information page
Provides a description and the configuration of the room including the details on the the technology and furniture as well as a picture (if available).
Please ensure that you are requesting a room that has the technology needed to support your intended use.
Presented once you have successfully stepped through the room selection so you can double-check (once again), that you have the correct room, date and time intended.
Add a brief (must be more than 5 characters) Group Name and Event Description.
For IT recording rooms (during COVID period), you will need to provide a 5-digit number from the back of your Faculty/Staff card for access purposes, as well as a cell phone number where you can be reached while on campus.
Note where the request is being sent - either to Central Room Bookings (academic space), IT Booker (for IT room reservations), or another Departmental contact. This is who you should get in touch with if there are any questions or concerns.
Once the required fields are completed the Submit button will allow you to click on it. (It remains greyed out/not-clickable until all inputs have been completed).
Read and follow any other prompts you are provided to complete the booking.
