Your Trent Photo ID card (Campus Card) serves as your library card. All Trent faculty, staff and students should have a Campus Card. Cards for External and Reciprocal Borrowers are issued from the Circulation Office. Please contact Library Circulation Services at Bata or Oshawa with any inquiries.
Library cards must be presented at each transaction. Any fines incurred are the responsibility of the borrower. A library card is to be used by the registered owner only and should never be loaned to others. The Library is not responsible for loaned, lost, or damaged cards. Lost or stolen cards are to be reported to the Circulation Desk and University Security immediately.
Circulating books and pamphlets have a loan period of 2 weeks with 3 renewals. (Faculty, Graduate Students, and Staff have extended loan on Books, Annuals, and Maps.)
Circulating periodicals from the stacks, bound and unbound, have a loan period of 2 nights with no renewal. Current periodicals do not circulate.
Circulating media materials have a loan period of 1 night with no renewal.
Curriculum items and Edu-kits circulate for 2 weeks with 3 renewals.
Maps (except atlases, travel maps, and maps held in the Maps Workroom) may be borrowed for a period of 7 days with 3 renewals. (Faculty, Graduate Students, and Staff have extended loan on Books, Annuals, and Maps.)

Renewals may be done online, or in person at the Circulation Desk with the item in hand. Renewed items are subject to recall. Items on hold for another patron cannot be renewed. Overdue items cannot be renewed. Renewals for ILL items are done through the ILL Office.
You can renew items online by accessing the "My Account" feature in TOPCAT.
Renewals may NOT be processed over the phone. Items may NOT be passed back and forth between two patrons; items must be returned and processed through the system.
Faculty, Staff, and Graduate Students may have an extended loan on books or maps at the time of checkout or renewal. There are no extended loans available on Curriculum items, Edu-kits, or Media. Items on extended loan may be recalled after two weeks.
All materials, including Interlibrary Loans, must be returned to the library through the drop slot at the Circulation Desk during Library hours. Bata Library has an outside book drop located at the university court level, available only when the Library is closed.
A "hold" may be placed online on a regular stack book which is signed out. Placing a "hold" puts you in line to sign out the book next. It also prevents the book from being renewed. For help using the "Hold" feature in TOPCAT, see "My Account" in TOPCAT.
Items charged out for more than 2 weeks can be recalled by other library patrons. A recall process is automatically begun when a patron places a "hold" on an item currently signed out on extended loan, or regular loan that has been renewed. Overdue fines on recalled items are $2.00 per day.
All items are to be returned directly to the library by their due dates. Failure to return an item by its due date will result in an overdue fine.
Fines are paid at the Circulation Desk during operating hours. Payment options are cash (no cheques), debit, Visa, and Mastercard. Telephone transactions are accepted with credit cards.
Overdue books, Curriculum items, Edu-kits, pamphlets, maps, and map tubes are assessed a fine of $.50 per day, per item, to a maximum of $20.00 per item ($8.00 for pamphlets and map tubes).
Overdue bound periodicals and Media items are assessed a fine of $1.00 per day, per item, to a maximum of $50.00 per item.
ILL items have a fine of $1.00 per day.
Overdue recalled items are assessed a fine of $2.00 per day.

Items not returned within 30 days are assessed a "lost" charge of $60.00 for books and periodicals, $30.00 for maps, $15.00 for pamphlets, and $10.00 for map tubes.
Fine appeals are regulated by the Appeal Policy for Library Fines & Charges.
A fee is charged to any material lost or significantly damaged. These fees cover replacement and processing costs. The charges for lost or damaged items are: $60.00 for books, periodicals, Curriculum items, Edu-kits, and Media items; $30.00 for maps; $15.00 for reprints; $15.00 for pamphlets; and $10.00 for map tubes. (For Edu-kits, the charge is the greater of $60.00 or the price of the item.)
Borrowers who subsequently return items after they have been declared lost will be credited the "lost" charge minus any outstanding overdue fines for the item. No credit is given 12 months after initial payment. An individual may replace a lost book with an exact copy; a processing fee of $10.00 will apply. A replacement copy must be approved by the Acquisitions Librarian before being accepted.

Borrowing privileges will be suspended under the following conditions:
a) a borrower has 10 outstanding overdue items
b) a borrower has fines of $25.00 or more.
Note that when fines exceed $50.00, undergraduate students will be unable to request transcripts, add or drop courses, or view grades through WebAdvisor until fines are paid. Once fines are paid through the Library, WebAdvisor restrictions are removed within 24 hours.
The library makes a reasonable attempt to send notices when items are 15 days overdue, considered lost (at 30 days overdue), recalled, and when requested items are available for pick-up or cancelled. A monthly statement is also sent to anyone owing fines.
These notices are sent to Trent email addresses. Patrons are responsible for keeping the library updated about where notices should be sent. Failure to receive a notice does not excuse a fine.
Any change of address should be given to the Library immediately.
